Tree Definitions provides tree services in Perth and the Perth Hills, Western Australia. This notice explains how we handle personal information collected through our website and related enquiries.
Tree Definitions is operated by The trustee for the Hall Family Trust, trading as TREE DEFINITIONS TREE SERVICES, ABN 64 031 604 212. In this notice, “we”, “us” and “our” refer to that business.

Information we collect
We collect the details you provide when you contact us or request a quote: your name, phone number, email address, contact preferences, property location and information about the work. Business and property management enquiries may also include an organisation name, purchase order reference, and tenant or site contact details. We may receive these details from an owner, property manager or other person arranging work on your behalf.
Only provide someone else's details if you are authorised to do so, and let them know about this notice. Please do not include payment card details, identity documents or sensitive personal information in the forms.
Photos supplied with a quote request
You may choose to attach up to four photos of the trees, property or access. The form resizes and converts supported images to JPEG in your browser before sending them, without copying the original photo metadata. Only share photos you are authorised to provide and avoid including people or unrelated personal information.
Photos are sent as attachments with your enquiry through our email provider and retained in the enquiry correspondence. We do not create public photo links or keep a separate website upload library. The same uses, disclosures and retention arrangements described in this notice apply to those attachments.
Website security and cookies
Our website uses Cloudflare for hosting, security and enquiry email delivery. Cloudflare processes technical information such as your IP address, browser and device information and request activity. We use your IP address to limit repeated submissions, and Cloudflare Turnstile checks browser signals and a security token to help prevent spam.
Security services may use cookies or similar browser technologies where needed to operate their checks. The website does not include advertising trackers or a separate visitor analytics tool. Blocking scripts or browser storage may prevent the forms from working; you can contact us by phone instead. See Cloudflare's privacy policy, including its Turnstile addendum for details.
How we use and share information
We use enquiry information to respond, assess the requested work, prepare quotes, coordinate site access and keep relevant correspondence. We may also use it to resolve complaints, protect the website and meet legal obligations. Submitting an enquiry is not consent to receive unrelated marketing.
Enquiries are delivered by email to the Tree Definitions business inbox. The information is processed by the people handling the enquiry and the hosting, security, email and IT providers supporting that process. Where needed for your request, relevant details may be shared with people coordinating the site or carrying out the work. We may also disclose information with your permission or where required or authorised by law.
Processing outside Australia
Cloudflare operates internationally, including in the United States. Information processed through its network and our email services may be handled or stored outside Australia. Locations depend on the provider and service; this website does not promise Australian-only storage. Contact us if you need further information about providers or processing locations before sharing details.
Security and retention
The website uses encrypted connections, form validation and spam controls. Its application delivery logs record information such as a reference, time and delivery outcome rather than the full enquiry. Enquiry content is retained in email correspondence, and infrastructure providers may keep technical logs. No internet transmission or storage system is completely secure.
We keep personal information for as long as reasonably needed to handle the enquiry, related work and any record-keeping or legal obligations. When it is no longer needed, we take reasonable steps to delete it or remove identifying details, subject to lawful retention requirements and backup cycles.
Your choices, access and correction
You can browse without identifying yourself and make a general enquiry anonymously or using a different name where practical. We need sufficient contact and property details to respond to an online request or arrange work. If you do not provide required form fields, you can call to discuss what information is needed.
You can ask to access or correct personal information we hold about you, or request its deletion, using the contact details below. We may need to verify your identity. If we cannot fulfil a request, including because records must be retained by law, we will explain why and discuss the available options.

We will consider your complaint and aim to respond within 30 days. If more time is needed, we will explain the delay. If you remain dissatisfied, you can contact the Office of the Australian Information Commissioner (OAIC). Its ability to investigate depends on whether the matter and business fall within its jurisdiction under the Privacy Act 1988 (Cth).
